Office Manager / Executive Assistant

XR Games is an award-winning game development studio specialising in full-scale immersive AR and VR content, as well as work-for-hire development.

We make fun games people love to play and talk about. Led by a team with big game experience at studios like Rockstar, EA, Codemasters, Sumo, Team 17 and Dubit, we've created games for some of the world's biggest brands, including Sony Pictures, Rovio, Dreamworks, BBC and LEGO.

 

We’re looking for an Office Manager / Executive Assistant to join the in-house team on a full-time basis. In this role, you will be working closely with our C-suite and reporting to our COO. This role will be varied and evolve over time. 
 

As our Office Manager, you will work across multiple areas of core responsibility.

Office Management:

  • Responsible for the day-to-day running of the studio.

  • Perform reception duties such as greeting guests and answering phones.

  • Manage all office contracts / licenses and renewals.

  • Ensure all studio areas (kitchen, break out, dev floor, meeting rooms etc) are fully functional and stocked. 

  • Arranging staff and charity events.

 

Executive Assistant (CEO & COO): 

  • Organise and schedule meetings.

  • Prepare meeting agendas, perform research for meetings, and take minutes during meetings.

  • Book business travel arrangements, including flights, transportation, and lodgings for senior management and other staff members.

  • Manage the diaries of CEO & COO when required.

  • Support with media appearances and events.

  • Manage projects and follow-up with team members where required.

  • Liaise with other staff members on behalf of senior management.
    Support with ad-hoc administrative duties.

     

Board Support:

  • Support in arranging Board meetings

  • Collating and distributing Board documentation internally and externally.

  • Minute taking at Board meetings.

 

Requirements:

  • Confident and self-motivated 

  • Accountable when taking ownership of tasks

  • Prior experience of working with senior leadership teams

  • Excellent attention to detail and accuracy

  • Private and confidential 

  • Strong interpersonal and relationship management skills

  • Strong written and verbal communications skills

  • High energy and a desire to achieve

 

You will ideally live within travelling distance to Leeds, England to work within our studio in this post-lockdown world.
